Tangney Tours - Group Booking Information
Group Size and Travel Dates
If you have not already made a booking, contact Tangney Tours
when you have an idea on group size and travel dates. We can
give you details about the hotels, costs and travel details
outlined on our website and in our main brochure. We can usually
confirm availability of air or coach seats instantly (depending
on your booking date); however, the hotel rooms may take longer.
Provisional bookings can be made where appropriate.
Forming and confirming your group
At an early opportunity invite potential pilgrims to join the
pilgrimage using Parish/Diocesan newsletters, notice board,
posters and personal contact. Please note that Tangney Tours can
also provide posters to help with promotion if required. Once you
confirm the booking we will send you all the necessary ‘Booking
Forms’ for your group, or if you prefer, we can send them to the
individuals directly.
Funding
Some groups like to do some fundraising so you will need to resolve
if pilgrims are to be subsidised and if so plan fund-raising events,
e.g. coffee mornings, cheese and wine evenings, Christmas and Easter
raffles, charity shop etc.
Complete the Booking Form
It is important that all the members of the group read and accept
our Booking Conditions which are published in our brochure, on our
website and included in our pack. Each Booking Form needs to be
completed and signed by the individual travelling with us; this is
so we have the exact information required for regulatory bodies for
the transport industry. All the information is held in our office
and is not passed on to any third parties. If you as a group leader
require copies of the booking forms, we can pass those on to you.
Contact & Liaison
Normally we liaise directly with the ‘Group Organiser’ over pilgrimage
costs, rooming requirements, special requests, the group’s itinerary
and any other issues or concerns. This can vary on a group to group
basis. Please ensure that we have your full contact details so that
we can get in touch with you as and when we need to. Regarding the
booking and payment procedures we have two options:
Option 1 - You as the group organiser act as the liaison between the group and Tangney Tours and all payments and booking forms come via yourself. Tangney Tours effectively have no direct contact with the pilgrim, including chasing of outstanding payments.

Booking Deposit
A deposit (listed in your quote) per person, plus any insurance payments,
is required with the Booking Form. Full payment is due normally 8 weeks
prior to departure or, if within 8 weeks of departure, with the Booking
Form (this may vary). Tickets are not released until full payment has
been received and are normally sent out 2 weeks prior to departure. It
is important that all pilgrims have read and accept our terms and conditions
which are published in the brochure, and on the website.
Rooming Lists
We would kindly ask the groups to provide us with a breakdown of rooms
required at 6 weeks prior to departure and at 4 weeks prior to departure
we will require a full rooming list so we can send it to your hotel. When
pilgrims book, if they select who they want to share with, then we will
generate these lists. Most hotels offer single, twin or triple rooms and
family rooms are on request.
Travel documents
Your travel documents, including tickets, ticket wallet, luggage labels,
travel information and pilgrimage badge, are normally sent out 2 weeks
prior to departure to the group leader. Most groups arrange a meeting
for the distribution of the travel documents and we will ensure you
receive the documents in good time.
Name change fees
It is worth pointing out that most scheduled airlines make charges for
name changes once we have processed the booking and different airlines
charge different prices. Try to avoid name changes if you can. Name
changes are usually free on our own charter flights and coach tours,
but we do reserve the right to charge.
